D. McDermott called the May 2012 monthly board meeting to order at 8:00pm at the Columbo Club, Rotterdam, NY.

April 10, 2012 Board Meeting Minutes – Minutes were reviewed. A motion was made by B. Jones and seconded by P. Dowse to approve the minutes as submitted. All in attendance were in favor. Motion carried.

Treasurer's Report (B. DiBella) - Bob presented the treasurer's report and reviewed the summary and transaction report and stated that the account is in excellent condition as of April 30, 2012. A motion was made by A. Caschera and seconded by A. Santabarbara to accept the treasurer’s report as submitted. All in attendance were in favor. Motion carried.

Registrar's Report (S. Masullo) - If anyone needs additional guest players please see Steve tonight. He hopes to have this complete by the end of the week. The board is considering making the registrar a paid position for the club. This position is very time consuming and is an important to the club. The payment for this position would be free registration plus $250 for the year. If anyone is interested please see Dave or Steve.

Spring Tournament - We would like to thank everyone for their help in making this year one of the most successful tournaments for the club. There were 109 teams registered for the tournament and we had to turn teams away at the end of the week. There were a few teams that attended from outside the area that seemed pleased with the tournament and expressed interest in next year. Have the capability to host more teams but it would need to be the right mix of teams. There are still a few outstanding expenses but the net income from the tournament is $27,109.31. Bob presented the financial report for the tournament.

Marketing and Fundraising (P. Dowse) - The Club has been approached by Roman Villa about fundraising. Pat is considering a pasta night where part of the proceeds would come to the club maybe for an end of the year party. Details will be emailed to all coaches and managers. During the summer camp Roman Villa will be providing food for one day for lunch. Roman Villa has also offered to host a night for the coaches when they come for the camp.

Spring Soccer - There are 204 kids registered with about 30 coaches. Season is going well so far and the coaches are doing well.

Fall Rec - Flyers will be made up this week. If there is anyone that can help distribute flyers to the school please let Pat know. We are going to add 7th and 8th graders to the program this year. Credit cards will not be charged until we are sure we can have at least 4 teams. They will play the first session on Saturday morning. Spread the word that the referee course will be posted online for kids that are 7th grade and up. Typically takes place the first week in August.

Travel Teams - If anyone is interested in coaching next year you need to let Dave and the appropriate coaching director know. We would like to have the coaches in place before the June meeting. If you have concerns about an existing coach please let Dave know. There is a coaching evaluation online please have parents complete the form and submit it to Angela Bush.

Placements will be posted online Girls U10-U14 Tuesday 6/26 & 7/17 Boys U10-U14 6/28 & 7/18 all tryouts will be from 6:00-7:30pm. There will be an additional fall tryout. Players will be notified where they are placed after the second tryout. Dave is trying to get shirts printed with numbers so that they will be used rather than pinning numbers to shirts. The tryout process was discussed. President, coaching director, and coaches for that level meet to go over players and their placements. The club tries not to fill any of the teams so that after the fall tryout we can move players up if they are more appropriate at a higher level. U16 and up will not need to attend a tryout, however, if a coach is trying to pull together an elite team they may hold a tryout for an older age group. We would like to have all players notified at the same time. We do not want kids hearing through the grapevine which team they have made. Coaches should not be telling players before the tryout that you will be on a specific team. Discussed other options of informing players of their team placement, considering posting the player number on the website rather than coaches making phone calls.

The club policy for playing time is that all players must be playing a minimum of 1/3 of a game. We are not a premier club and are here to develop players and in order for them to get better kids need to participate in games. We are getting feedback that many players are not getting enough playing time. Game times for Sunday games at our fields have been changed. We are renting our fields to the men’s league and there was a scheduling error. Make sure that you use the fields Dave assigned you. If you have any questions please let Dave know. There have been complaints from parents regarding practice times. Some coaches are not holding practices two times a week. Parents and players are told at the beginning of the season that practices will be twice a week so coaches need two practices a week. If you are moving the goals please be respectful and put them back. If you are moving goals make sure you stake them back down. Corner flags need to be picked up at the end of your game and bathrooms need to be locked. There are bags for garbages in the classroom if you need a key see Dave.

Guest Player Policy – Last year CDYSL expanded guest players to include U10-U19. A draft has been distributed to everyone regarding RYSC guest player policy within the club. A paragraph will be added to the policy that a guest player must be in good standing with their team. To be in good standing guest players must be regularly attending their primary teams practice and games. Coordination of guest players should be done between coaches/managers. This policy will be distributed to all coaches and team managers and added to the website. We will add a checkbox to the placement form and anyone interested in being a guest player will have the chance to guest play on a team. You will not be able to bring the same player over and over and need to rotate through the list of people that are interested. Teams needing guest players should only call additional players if they are needed. The primary players should be playing above guest players. This policy was in place to eliminate forfeits not to stack teams. You can only bring 5 players per game and they must have a special pass. If there are guest players that you need to add this year you need to let Steve know tonight. This policy is only for league games not. You will need to check with the specific tournament you are attending for guest player policies.

Old Business – Summer camp is 8/6-8/11 the registration is up on the website. Next meeting Pat will have flyers and they will be handed out at spring rec too. Angelo is working on both men and women coaches coming this year.

New Business - Managers meeting will be Monday 5/21. Next meeting is the annual meeting and we will be holding elections for 5 positions Bob, Steve, Michelle, Chet, Pat. Please let us know if you are interested in running. Next meeting not only elect board members but committee members. You do not have to be a board member to be on a committee. A list of committees can be found on the website.

With no other topics to be discussed, a motion was made by S. Masullo seconded by B. DiBella to adjourn the meeting at 9:05pm.
